HCP Forms Overview

The usage of the various HCP forms is covered in the Navigating HCP class. As a reminder, here is a quick overview of the forms. Follow the link for each form to learn about the minor differences between the web and Smart View Excel interfaces. 

Manage Existing Employees and Job Codes

Used to plan for existing and to be hired employees. On this form, you can add an existing or to be hired employee to a DeptID, update monthly pay rate, modify an existing distribution or add a new one, and replace a to be hired employee with the Employee ID of the person filling the position.

Create and Manage HCP Pooled Positions

Pooled positions are used to budget compensation expenses for  fluctuating populations of employees using a singleposition per DeptID - Fund - Chart1 intersection.

Dept ID Comp Adjustments

Enter compensation expenses for the DeptID that are not tied to an individual. Common uses: stipends, vacancies, staff reductions.

Review BFS Journals

See BFS Actuals data from prior periods for Salary Expense, Fee Remission, Benefits, and Total Compensation.

Mass Salary Adjustments

Adjust the monthly pay rate for a group of employees with the same Job Code.

Review HCM Data to add to Plan

Used to streamline monthly pay rate updates to incorporate annual salary adjustments.

Monthly Pay Rate Lookup

Look up the monthly pay rate for an employee.

Connect to HCP Forms

The procedure to connect to HCP is the same as connecting to CalPlan, except you select HCP. Once connected and before you open a form, be sure to set your entity preference.

After you connect to HCP and before you go to the Task List to open a form, set your entity preference for HCP.

1. Right-click on HCP and select User Preferences from the quick menu. If you're using a Mac, press the Option button on the keyboard while you click.

2. Select User Variables from the left panel.

3. Enter the entity in the text box or select the ... button to open the Member Selection dialog box.

4. After entering the entity in the text box or selecting it from the Member Selection dialog box, select OK to save and close the Preferences dialog box.

Set your entity preference to an L7 DeptID. If you work with multiple DeptIDs, you can set your entity to an L6 or L5. You may experience performance issues, including a timeout, if you set the entity at a higher level than recommended.

There are a few cases where the menu functionality differs between the web and Smart View versions. Those forms are discussed here:

Manage Existing Employees and Job Codes

On this form you can enter monthly pay rates and distributions for existing and to be hired employees on the Monthly Pay Rate and Distributions tabs.

From the quick menu, you can:

  • Add an existing employee
  • Add a to be hired employee
  • Add a distribution for an employee
  • Replace a to be hired employee with an employee
  • Transfer an employee to another DeptID

Create and Manage HCP Pooled Positions

Use the same accounts as in the Manage Existing Employees and Job Codes form described above.

DeptID Comp Adjustments

The names of the accounts for DeptID Comp Adjustments Accounts end with –Amt. These roll up to Statistical_Accounts\Salary_Account_Amounts.
