Complete exercises in the training environment
Please read the chapter and then open the exercise to begin your hands on practice.
The first practice exercise is at the end of this chapter. It instructs you to log into the Training Environment of CalPlanning so that you are not impacting colleagues working in the Production Environment.
Access Smart View from your desktop or via Citrix
Smart View may be accessed from your desktop or via the Citrix remote desktop. Running Smart View from your desktop will deliver the best performance.
When you are off campus, you need to launch GlobalProtect before launching Smart View or Citrix.
You will need to run Smart View from Citrix when:
- You are using a Mac
- Smart View is not installed on your desktop or is not working
Launch Smart View
From your desktop
Launch Excel. If you do not see Smart View on the Excel menu, follow these steps to troubleshoot
From Citrix
- From your browser, go to https://citrix.berkeley.edu
- Enter your CalNet ID and passphrase
- Click the Smart View icon. If you don't have a Smart View icon on the desktop, click the + on the left side of the window and then click the Smart View icon.
- Double-click the file with the .ica extension at the bottom of your screen
Production and Training environments
While you are learning, you will change the Shared Connections URL to point to the training environment. This allows you to practice without worry of interfering with other users in the production environment or unintentionally modifying production data. The instructor emails this information to course enrollees 1-2 weeks prior to the group learning session.
Disconnect before changing environments
If you are connected in Smart View and want to change from Production to Training or vice-versa, be sure to disconnect first.
1. Select the Panel button on the Smart View ribbon
2. Click the arrow next to the house button to open the drop-down list
3. Select Disconnect All
Connect to Production when you finish training
You can continue to practice in the Training environment. When you are ready to work in the Production environment, you'll need to follow the above procedure to change back to the Production environment. You can always go the Options dialog box to confirm the environment that you are connected to. Unfortunately there are no visual cues to identify the environment so you must go to Options to be sure.
Mac Users: Option button + click
Whenever you see "right-click" in the instructions, you will need to hold down the Option button on your keyboard and click once. Right-click is relevant to PC users. Mac users will click while holding down the Option button.
Connect to Smart View in Excel
1. Open Excel
2. Go to the Smart View ribbon and select the Panel button
3. Click Shared Connections
4. Enter your User Name and Password (CalNet ID and Passphrase), and select Connect
5. Select Oracle® Hyperion Planning, Fusion Edition from the Select Server drop-down list
Set Preference for Default Entity
You can set your default entity preference before opening a form. And you can change the entity from within a form if desired. For best performance with a reasonable amount of data, we recommend that use use these guidelines for setting entity preference.
- In CalPlan, you may set your entity preference as high as the division (L3).
- In HCP, you may set your entity preference as high as L5. If you attempt to set the entity to a department (L4) or higher, the system may time out without retrieving your data.
From the Oracle® Hyperion Planning, Fusion Edition tree, right-click on CalPlan and select User Preferences from the quick menu to open the Preferences dialog box.
Select User Variables in the left panel and enter the Entity that you will use most frequently. You can change leave the rest of the fields blank.
Note: Preferences are not saved for Citrix users so you need to set your entity preference each time you connect to Smart View from Citrix.
Open a Planning Form
To open a planning form, drill down within Oracle® Hyperion Planning Fusion Edition tree:
1. Select Oracle® Hyperion Planning, Fusion Edition
2. Click the + to expand CalPlan
3. Click on Task List to expand it. (Do not go to Forms)
4. Double-click CalPlan Budget Process Task List
5. Expand 4.0 Enter Data
6. Double-click the form you want to open
Disconnect When Finished
To free up resources on the server, be sure to disconnect when you are finished using Smart View
- Select the Panel icon from the Smart View ribbon to display connections
- Click the drop-down arrow next to Home
- Select Disconnect All
