May 2019 Release Notes

The CalPlanning tools (CalPlan, CalRptg, HCPRptg, SmartView) are available with Q3 Submission version available for reporting. In addition, 2019 February, March, and April Actuals have been loaded to CalPlan and HCP with the Forecast Actualized.

In CalPlan, the Forecast is available for edits and the Operating Budget is unavailable for edits.

HCP will remain closed for edits until we open FY20 Forecast in late summer.

Due to UCPath changes, we are not loading data to HCP and HCPRptg at the employee/job code detail level; for the time being, we are loading expenses in those applications to the chartstring level.

Notes:

  • FY19 Forecast and FY20 Operating Budget Planner Submission and Q3 Submission Versions Available

    • The FY19 Forecast and FY20 Operating Budget Planner Submission versions were created by taking snapshots of the FY19 Forecast and FY20 Operating Budget Working versions as of 3/22/19 at 7:00PM

    • The FY19 Forecast and FY20 Operating Budget Q3 Submission versions were created by taking snapshots of the FY19 Forecast and FY20 Operating Budget Working versions as of 4/18/19

    • Data from the Q3 Submission versions should be used as a point-in-time reference for future analysis

  • FY19 Forecast is Editable

    • CalPlan FY19 Forecast Working is now editable. Planners should continue to make changes to the FY19 forecast where plans change materially or vary materially due to seasonality with the actualized forecast

    • Changes to FY19 Forecast Working Ending Balance will not impact FY20 Operating Budget Working Beginning Balance

  • FY20 Operating Budget is No Longer Editable

    • As of 3/22/19 at 7:00PM, the FY20 Operating Budget Working version is no longer available for edits by campus users. Campus users will be able to edit FY20 Forecast when it becomes available in August

    • Changes to the FY20 Operating Budget Working versions based on senior leadership decisions will be managed by the FP&A team

    • FY20 Operating Budget Working Beginning Balance is locked to equal FY19 Forecast Q3 Submission Ending Balance

  • HCP Unavailable

    • HCP will remain unavailable for any detailed edits. You can use HCPRptg reports to view compensation expense at the employee level

  • HCP and HCPRptg FY19 March-June Actuals/Actualized Forecast not at Employee Level

    • Due to UCPath changes, we are not loading data to HCP and HCPRptg at the employee/job code detail level; for the time being, we are loading expenses in those applications to the chartstring level.

    • We anticipate loading HCP and HCPRptg this way for the March, April, May, June periods until late summer. Once we have a solution in place, we will reload March, April, May periods with employee/job code detail data.

    • Due to UCPath changes, we are not loading Payroll Actual FTE data to HCPRptg; we are analyzing UCPath Payroll data to determine what is the correct FTE data to report. We hope to have an update in August.

    • HCP and HCPRptg require an extensive retrofit effort involving remapping legacy Employee IDs to UCPath Employee IDs, remapping legacy job codes to UCPath job codes, and revising the HCP CBR calculations to work with the new salary account codes.
