Drill Through - Account Details

With summary level members selected in the POV, this form allows you to select an account and drill in to see the detail level members of the Entity, Fund, and Chart1 intersections. In addition, with this form you can enter plan data at a summary level for period (quarter or YearTotal) and the system will spread the data to each month.

Form Layout

The top of the form has drop-down lists for Entity, Fund, and Chart1. You can select any member. Then select the Go button to refresh the data.

Across the columns, the form has data for several Scenario and Version combinations so you can compare what was planned at various points to what actually transpired. Click the triangle next to YearTotal to expand and see period by quarter and month.

Drill Down to Account Details

Once you have the POV you want, find the account you would like to investigate. Right-click the account and select Smart View \ Acct Details by POV from the Quick Menu.

The form presents the details for the selected account.

  • You can click the Drill Through - Account Details hyperlink to return to the summary view
  • The selected account appears in the next row with a drop-down list to change the account

Enter Data in the Account Details Form

In this detailed view, you can compare your Working Forecast to the Final Operating Budget that was committed at the beginning of the year and make edits as needed to the current year Forecast or the Operating Budget for next year. 

In this form, you also have the option of entering data in a summary period (quarter or yeartotal). When you enter data in a summary period, CalPlan spreads the total amount to the open months in the same proportion as the current data. For example, if you have 100, 200, and 300 in Apr, May, and Jun for a total of 600 in Q4 and you change the amount in Q4 to 1,200 CalPlan will spread the 1,200 as 200, 400 and 600. If there was no data in the months, CalPlan would spread the total amount evenly.

You can also enter data in each month instead of using the summary quarter and yeartotal periods if you wish.

Caution

CalPlanning automatically aggregates these summary calculations as part of the planning data updates that occur at 9am, 12pm, 3pm, 6pm and 9pm daily. However, if you want to see your changes in CalPlan reports immediately after entering changes in CalPlan, you will need to save data at the summary level. To return to the summary level, click the Drill Through - Account Details hyperlink in the upper left corner of the form. Then save changes again at the summary level.
