Display the Forms

  1. Click Task List in the left panel (not Forms)
  2. Click the triangles to expand the tree as shown here until you see the forms listed below Enter Data

 There are several data entry forms:

  • Each one presents dimensions in a unique format
  • Personal preference will determine which form(s) you use

Navigating in the Task List

There are two panes in the task list: the task list tree on the left and the view pane on the right

  • When you highlight a form in the task list, the form displays in the view pane. The view pane has two tabs, one for the task and one for the task instructions. The task instructions are worth reading; click the Task Instructions tab to read the instructions and then click the Task tab to return to the form.
  • The triangle in between the tree and view panes can be used to hide the task tree when you are working in a form. When you want to move to a different from, click the triangle to return the task tree to the display.

Entering Data in Forms

Form Layout

  • Each form has several tabs to organize data and simplify data entry
  • Comp expenses are managed in HCP; the summary of that data is loaded into CalPlan; for this reason, the Comp Expense tab is read-only

Editable vs non-editable cells

  • You can edit cells with a white background; you cannot edit cells with a gray background
  • A cell may be non-editable for various reasons:
    • The period has passed and the actual data has been loaded
    • The form contains summarized data
    • You do not have access to write to the entity

Data Must Be Entered at Lowest Level

To enter data, you must select the lowest level for:

  • Entity (DeptID)
  • Account
  • Fund (use the 5 Plan Only Members)
  • Chart1

The Account Intersection and Entity Intersection forms automatically present data at the lowest level for these dimensions so you'll see the white background indicating that cells can be edited.

Other forms have dimensions in a Point of View (POV) with drop-down lists that allow you to display the detail in detail or at a summary level. In these forms, cells with a gray background cannot be edited, either because one or more dimensions is not at the detail level or because you do not have write access to the entity. Adjust the dimensions in the POV to the detail level so you can edit the data.
