Multiyear Budget Template in Smart View for Planning

These instructions are for people that enter CalPlan data using the Excel-based Smart View for Planning. If you are using the web-based CalPlanning tools, see Budget Template in CalPlanning.

In this chapter:

Open Budget Template

1. Open Microsoft Excel.

2. From the Smart View ribbon, click the Panel button.

3. From the Panel, select Shared Connections.

4. Login using your CalNet ID.

5. From the Shared Connections drop-down menu, select Oracle Hyperion Planning, Fusion Edition.

6. Expand the tree as follows: CalPlan > Tasklists > CalPlan Budget Process Task List.

7. Double-click on CalPlan Budget Process Task List.

8. Double-click on 2.0 Multiyear Budget Template.

9. The Budget Template form opens. Use the Entity drop-down list to select an L4 Department.

10. Click the Refresh button.

11. Before entering data, confirm that you are not suppressing rows with zeros or missing data and that you have enabled the ability to submit zeroes. From the Smart View ribbon, click the Options button.

  • From the left pane, select Data Options.
  • Uncheck all the boxes under Suppress Rows.
  • In the Replacement section, check Submit Zero.

  • Click OK to save your selections.

12. Click the Refresh button to update the data.

13. Adjust the column widths as you wish.

Save Data in Excel

Use the File / Save As commands from the Excel menu to save the data in this form. If you are using Smart View from Citrix, save your files to a folder and not to the Desktop.

  • Enter data for FY25 and FY26.
  • From the Planning ribbon, click the Submit Data button to save the data to CalPlan

Use of Reserves

1. To open the Use of Reserves template, click the tab at the bottom of the Excel window

2. As with the Budget Template, you must enter data at the L4 Department level. If you want to enter data once for the Division, select a single L4 Department to enter the data. It is not possible to edit the labels in the first column.

3. From the Entity drop-down list, select an L4 department (in black type) to enter your use of reserves.

4. Click the Go button to refresh the data for the selected entity.

5. Enter numeric data for the three years shown in the form.

6. Enter the purpose for the reserve spending in column B.

7. Click the Submit Data button.

8. To see data aggregated, use the Entity drop-down to select an L3 Division and click the Go button.
