Employee continuing in same position
Actuals data is copied from UCPath Human Capital Management in time for the annual budget planning process. Salaries for existing employees are increased (if approved) for the following year’s Operating Budget. Planner choose which data to copy into the plan. See Review HCM Data to add to Plan Job Aid for details.
Employee leaving
- Open Manage Existing Employees
- Go to the Distributions tab
- Enter zero for each month in which the employee will not be working in your organization. It is OK to leave the monthly pay rate for the employee because the zero in the distribution will result in zero salary expense.
New employee
- Open Manage Existing Employees
- Go to the Monthly Pay Rate tab
- Right-click in the first column and select Manage Employee / Add an Existing Employee from the context sensitive menu
New employee filling a To Be Hired position
- Open Manage Existing Employees
- Go to the Monthly Pay Rate tab
- Right-click in the To Be Hired position and select Manage TBH / Assign Employee to TBH from the context sensitive menu
Employee moving to another entity
- Open Manage Existing Employees
- Go to the Monthly Pay Rate tab
- Change the pay rate to zero
- Go to the Distributions tab
- Change the rate to zero
Split appointment within same DeptID
- Open Manage Existing Employees
- Go to the Distributions tab
- Right-click in the employee and select Manage Employee / Add Employee Distributions from the context sensitive menu to create a new Fund or Chart1 for the employee
- In the original row for the employee, update the % in the original distribution as needed
Split appointment across entities for an existing employee
- Open Manage Existing Employees
- Go to the Distributions tab
- Update the Distribution % as needed
- The Planner from the other entity will also need to create a Monthly Pay Rate and Distribution for the employee
