Definitions
Dimensions
Dimensions define how data is organized in the CalPlanning tools.
- The CalRptg database has 11 dimensions. HCPRptg has 2 additional dimensions.
- Each dimension has members. FY20 and FY21 are members of the Year dimension.
- The CalRptg dimensions are shown here with an example member selected. The following section includes detailed descriptions and examples for each dimension.

Members
Members are items within a dimension. For example, the Period dimension includes all of the months of the year. The months roll up to quarters and the quarters roll up to YearTotal. This hierarchy allows you to report at the level of detail desired.
Dimension Descriptions and Examples
Year
Identifies the fiscal year, which runs from July to June.
Scenario
Differentiates the types of financial data available; supports variance analysis across actual, current year, and future year plans.
Version
- Allows for multiple iterations of financial data to support comparisons over time and variance analysis.
- Planners update the Working version throughout the year.
- Throughout the year, snapshots of the Working version are created and named to identify the milestone.

Period
You may select YearTotal, any quarter, or any month. Note that if you leave this dimension at the highest level (Period), you will be including Period 0 (beginning balance).
Account
Account identifies the source or use of funds; the members are organized by activity in a hierarchy so you can drill down and roll up the data.
Entity
Represents organizational units sourced from BFS from Level 1 UCBKL to Level 7 Dept ID. For example:
- 1_UCBKL (L1 UC Berkeley)
- 1_CAMSU (L2 Campus Support)
- 1_VCFIN (L3 Division)
- 1_AVCFO (L4 Department)
- 1_10045 (L7 Dept ID)
Fund
CalPlanning groups the 30,000+ individual funds into 5 fund buckets to simplify planning and reporting; the planning fund buckets are highlighted in the graphic below:
- Unrestricted – Plan
- Designated – Plan
- Restricted Gift – Plan
- Restricted Endowments & FFE – Plan
- Contracts and Grants – Plan
Fund Hierarchy
- Total Funds – includes all current and some non-current funds
- Current Funds – includes the 5 fund buckets that roll up to the Current Funds major fund group, which captures the financial activity and balances associated with the campus’ annual operations.
- Current Funds Excluding C&G (available in CalRptg only) – Use to see current funds excluding contracts and grants. Particularly important in actuals reporting when the accounting for contracts and grants has changed in past several years. Circled in the graphic below.
Chart1
Represents the Chartfield 1 values in BFS
- Actual data: All Chart1s available in CalRptg and HCPRptg to view Actual data
- Plan data: Subset of Chart1s and C1_SUMPLN (Chart1 Plan) available for planning in CalPlan and HCP
Chart2
Represents the Chartfield 2 values in BFS
Program Code
Represents the Program Code values in BFS
Time Series
Allows for reporting on a fixed period of time (YearTotal, quarter, or month) or cumulative periods of time such as Year to Date (YTD) and Quarter to Date (QTD).
Time Series also enables reporting with data rounded to thousands or millions, while still allowing for the periodic or cumulative periods of time.
Dimensions only available in HCP and HCPRptg
Earn Code
Type of earnings.
>Job Code
Campus Job Code, also referred to as the Title Code, and the corresponding Job Code description. The lowest level is a four character numeric code, e.g.
001100_Professor-Acad Yr, 004722_Assistant III, 007709_Financial Analyst 3.
