Exercise 3: Zoom In and Out, Keep and Remove, Undo
This exercise uses the file you worked with in Exercise 2. It assumes that you have Account in the rows and Period in the columns.
Exercise
1. Expand the width of column A to twice the width of the label Total Expenses.
2. Double-click on Total Expenses. Now the children of Total Expenses are displayed. (This step assumes that you Next Level as your selection in Options \ Member Options \ Zoom In Level; this is the default setting, which you will have unless you have made a change and saved it as your default.)
3. With the cursor on cell A3 (Total Compensation), select the Zoom In button. Notice that it displays the children of Total Compensation, the same effect as double-clicking on the member.
4. Since we have no data for the Adjustment accounts, we can remove them from our query. Select the cells A5 and A8 and then select the Remove Only button.
5. Suppose that you would like to see all of the detail for Non Compensation expenses. Select cell A6 and select the arrow on the Zoom In button. Select All Levels from the drop-down menu.
6. That is more detail than needed. Fortunately there is an Undo command when making member selections. Go to the Smart View ribbon and select the Undo button on the ribbon. (The undo button above the Excel menu is grayed out, but don’t worry; the button you need is on the Smart View menu.)
7. Select Essbase from the Excel menu to return to the Essbase ribbon.
8. The Zoom In button (and double-clicking on a member) can sometimes return a large number of members. If you’d like to see the members in a dimension hierarchy, remember that you can open the Member Selection dialog box. Select the Member Selection button.
9. Select the arrow on the Options button.
10. The options to Check Children, Check Descendants, and Check Base Members are the same as the options Next Level, All Levels, and Bottom Level on the Zoom In button. The difference is that in the Member Selection dialog box, you can see the members before asking Essbase to fetch the data. Once you see the number of members, you may decide on a different selection. Drill down to the Salaries & Wages member as shown above. Then select the Options button and select Check Descendants to see the members.
11. Select the Options button and select Clear Checks.
12. Select the Cancel command button at the bottom of the dialog box.
13. The Zoom In button drills down into a hierarchy. Similarly, the Zoom Out button moves up a level. To see how this works, select Total Expenses in cell A7 and select the Zoom Out button.
14. Since that wasn’t what we wanted, go back to the Smart View ribbon and select the Undo button.
15. Save your file.
