Smart View Options

Options in Smart View are user preferences that offer flexibility in accessing and entering data. To access the Options dialog box, go to the Smart View ribbon and click the Options button.

The following sections describe the settings on each of the menu items in the left panel. You can read through the sections or click a link for the action you're interested in to go directly to that section.

Data Options

You may want to enter zeroes in your budget. The default settings in Smart View for Planning do not allow the entry of zeroes, so you’ll need to make the following selections in the Replacement section of the Data Options pane. When you save this selection, so be sure to open the drop-down list on the OK button and select Save as Default Options so this will apply to all future sheets you open.

  • For #NoData/Missing Label, select #NumericZero.
  • Check the Submit Zero box.

Advanced

The Advanced pane has the Shared Connections URL text box. This is where you enter the connection for the server. While you are learning, you’ll be connected to the training environment. When you get ready to work with your unit’s data, you’ll need to change the connection to the production environment. When you enroll in this course, the instructor will send you the Shared Connection URLs for the training and production environments, along with a list of Training IDs that you can use while you are learning.

Formatting

  • Use Thousands Separator: Check this box to have Smart View display a comma when presenting data in thousands, millions, etc.
  • Cell Styles vs. Excel Formatting: For formatting data, you can use Cell Styles or Excel Formatting. Excel Formatting retains numeric format, font, shading, and column width when you refresh data and is the preferable option in most cases. However, if your worksheet has a great deal of data, the use of Excel Formatting can impact performance on data refresh. In that case, Cell Styles is recommended.
  • Adjust Column Width and Row Height: Check this box to have Smart View automatically adjust the column width and row height to fully display your data when you refresh.
  • Repeat Member Labels: Check this box to display repeating labels on forms. This is especially useful with the Account Intersection and Entity Intersection forms in CalPlan and the Manage Existing Employees and Job Codes form in HCP.

Cell Styles

Smart View for Planning has default settings for displaying attributes of cells such as whether a cell is editable or locked, has data that hasn’t yet been saved to the database, contains a comment or supporting details, etc.

You can change the properties (font, background, or border color) in the Cell Styles pane. You’ll need to expand the Planning and/or Common sections to find the cell type for which you want to adjust the properties.

To adjust cell properties:

  1. In the Options dialog box, select the Cell Styles pane.
  2. Expand the Planning and/or Common sections until you see the cell type you want to adjust.
  3. Click on the cell type to select it. (See below for cell type definitions.)
  4. Click the Properties button and select a property: Font, Background, or Border. If the Properties button is grayed out, you need to select a cell type to modify.

5. Make your selection and click OK.

6. Modify any other cell types you wish and then click OK to save the changes. If you want these changes to be your default settings from now on, open the drop-down on the OK button and select Save as Default Options.

Planning

Member Cells

  • Members
  • No Access: cells you do not have security access to view
  • Formula: cells that contain a formula

Data Cells

  • Locked: cells that are locked for editing, likely because the values are calculated by the application
  • Supporting Details: cells with supporting details
  • Read only: read-only cells that cannot be edited
  • Cell text
  • Document attachment: document attached to the cell
  • Writable: cells you can edit
  • Drill-through

Common

  • Dirty cells: cells with edits that have not been submitted (saved)
  • Refs dirty cells
  • Comment cells: cells with comments
